Bilingual HR Administrative Assistant

PURPOSE:

Assist the Executive VP with daily coordination of tasks and projects. Provide administrative support to employees and the HR department. Provide Spanish interpretation verbally and written for emails, reports, and meetings.

RESPONSIBILITIES:

  • Receives HR inquiries/requests from employees, assists/resolves when possible, forwards info to Exec VP.
  • Keeps a calendar of new employees enrolled – track key dates: 30 day/ins enrollment, new hire bonus, .
  • Distributes keys to employees and updates key spreadsheet.
  • Track new employee onboarding checklists.
  • Documents data of monthly invoices for the temp agencies and various carriers on spreadsheet.
  • Distribute HR documents.
  • Coordinates uniform program, working with provider and consolidating invoicing, including receiving/documenting uniform order.
  • Coordinate the locker process for ladies and men.
  • Assigns, organizes and keep records and keys.
  • Coordinates the turnstile entrance for employees. Enrolls, deletes, prints reports as needed.
  • Coordinates special projects, i.e., town hall meetings, training programs, and annual employee events such as employee appreciation day, summer picnic, Christmas celebration, etc.
  • Supports safety initiatives – attend safety meetings, take minutes.
  • Recruits, interviews and administers testing for new applicants.
  • Reviews job applicants – forwards potentials to Executive VP.
  • Approves and signs-off on various invoices (temp agency, uniforms, etc.).
  • Reconciles and processes invoices from benefits carriers.
  • Tracks dates for applicable COBRA enrollment (former employees).
  • Responsible for providing administrative support for HR.

WORKING CONDITIONS/PHYSICAL REQUIREMENTS:

  • Must be able to sit stand and walk.
  • Occasional lifting of boxes weighing approx. 20lbs.

COMPUTER SKILLS:

  • Knowledge of Word, Excel, Power Point.

ADDITIONAL REQUIREMENTS:

  • Represent Compact Industries in a professional manner when dealing with vendors, customers, applicants and employees.
  • Ability to multi-task and prioritize competing projects/deadlines.
  • Excellent communication skills both oral and written.
  • Able to handle confidential information appropriately.
  • Able to work efficiently under deadlines.
  • Bi-lingual English/Spanish is required.

EDUCATIONAL REQUIREMENTS:

  • High school diploma or GED.

WORK EXPERIENCE:

  • At least 2 years of experience in a fast-paced manufacturing environment with responsibility reporting and previous exposure to Human Resource functions.
